Setting the Scene

Xtra Travel Solutions have worked with many film, television and exhibition companies on some of the most complex travel itineraries. We were approached by an exhibition company who had previously made all their travel arrangements themselves, using the Internet to find hotels and making payments via company credit cards.

Challenge

To find a travel solution for a major exhibition in Sweden. The exhibition company had already hit problems trying to co­ordinate flights and suitable hotel accommodation for a number of people flying out of the U.K to Sweden at different times.

Utilising our Corporate Travel Management

Upon appointment we were able to create an itinerary for them that suited every aspect of their arrangement without the exhibition company having to trawl through websites and waiting for email replies that never come. We were able to bulk book seats with an airline at the right cost to them, incorporating the most direct routing, providing complete ground transportation for the whole crew during their stay in Sweden.

We negotiated a preferential rate for a hotel close to the exhibition centre and even organised an itinerary sheet and local area information for each of the crew members. During the entire project our team here in the UK were on hand to help with any changes to the arrangements even extending there stay by two nights. We provided them with a detailed project cost to help them budget their expense followed by one a single invoice. In essence, the company only ever had one point of contact for their requirements, itinerary and payment.
